Free AI tools for small businesses (2026)

By Sulakshi (Sue) Pallethenna

"Free" is a slippery word on the internet. A lot of AI tools are "free" for seven days, or "free" until you try to download what you've made.

So for this list I did something simple: I only included tools whose free option I checked on the company's own website, and I've linked to those pages so you can check too. I checked them in October 2026. Free plans change often, so please look at the official page before you rely on any of them.

Here are five that a busy café or small-business owner can genuinely start using today, without a credit card.

You don't need all five. Pick one writing assistant to start with, use it for a few everyday tasks, and add more tools only when you have a clear job for them.

1. ChatGPT (free plan)

What it is: a general AI assistant for writing, brainstorming, summarising and answering questions.

What's free: OpenAI's pricing page says the free version of ChatGPT is available to everyone. It lists everyday text chats on the free plan, plus limited file uploads, limited image creation and limited voice chats. Paid plans add more usage and features.

Great for: - Writing social posts, menu descriptions and emails - Drafting staff training checklists and SOPs - Replying to reviews (with your own edits) - Turning messy notes into tidy lists

Watch out for: it can sound confident and still be wrong. Check anything about food safety, wages, tax or the law with an official source.

2. Google Gemini (free)

What it is: Google's AI assistant, similar in style to ChatGPT.

What's free: Google's Gemini plans page lists a Free plan that includes the Gemini app, image generation and editing, Deep Research and Gemini Live, plus 15 GB of cloud storage across Gmail, Drive and Photos. Paid Google AI plans add higher limits and more features. (The page I checked showed US plan details, so features may vary where you are.)

Great for: - Researching suppliers, ideas or local events - Getting a second opinion on something ChatGPT wrote - Brainstorming specials, events and promotions

Watch out for: usage limits apply, and like any AI it can make mistakes, so check important facts.

3. Microsoft Copilot (free)

What it is: Microsoft's AI assistant, available in your browser, on desktop and as a phone app.

What's free: Microsoft's support page says Microsoft Copilot (free) is available at no cost and can help you chat, write, brainstorm, summarise and get answers based on web search. Microsoft's Copilot pricing page describes it as a limited free version, subject to capacity and limits. Using Copilot inside Word, Excel and Outlook needs a paid Microsoft 365 subscription.

Great for: - Quick answers while you're browsing in Microsoft Edge - Summarising a long supplier email or article - Drafting on your phone between rushes

Watch out for: the free version doesn't work inside the Microsoft 365 desktop apps. If you need that, it's a paid add-on.

4. Canva (free plan with AI tools)

What it is: a design tool for social posts, menus, flyers and signs, with built-in AI features.

What's free: Canva's pricing page lists Canva Free at US$0, with templates, photos and graphics, 5 GB of cloud storage and up to 20 AI uses a month. Canva's AI usage help page explains that on Canva Free, AI tools like Magic Write draw from that monthly allowance, which resets each month.

Great for: - Specials boards, menus and social posts from templates - Quick text ideas with Magic Write - Resizing one design for Instagram, Facebook and print

Watch out for: many templates and elements are marked as Pro. Filter for free ones so you don't fall in love with a design you can't download.

5. Google Business Profile (free)

What it is: your listing on Google Search and Maps. It's not an AI chatbot, but it matters for AI, because it's one of the main places search tools and assistants get information about local businesses.

What's free: Google says on its Business Profile page that creating a Business Profile and listing your business on Google is free. You can add hours, photos, your menu and updates, and respond to reviews.

Great for: - Being found on Google Maps - Showing your menu, hours and photos - Replying to reviews - Giving AI assistants accurate details about your business

Watch out for: an incomplete or out-of-date profile can work against you. Keep hours and photos current.

How to choose (without trying them all)

You don't need five AI tools. Honestly, most owners need one writing assistant and one design tool, plus a well-kept Google Business Profile.

My simple suggestion:

  1. Pick one AI assistant (ChatGPT, Gemini or Copilot) and use it for a month. They're more alike than different for everyday tasks.
  2. Use Canva Free for anything visual.
  3. Spend an hour on your Google Business Profile. It's probably the highest-value free thing on this list.

Five tasks to try this week

  1. Ask your assistant to rewrite your three slowest-selling menu descriptions.
  2. Use Canva to make a specials board template you can reuse every week.
  3. Draft replies to your last five Google reviews, then personalise each one.
  4. Turn your opening checklist into a tidy one-page list.
  5. Ask an assistant to suggest four social post ideas for next week.

Start with one task you do every week, such as writing the specials post or replying to common emails, and see how much time it saves.

A few ground rules for using free AI tools

  • Don't paste private information. Keep staff details, customer data, passwords and bank details out of AI chats.
  • Check the facts. Especially anything about allergens, food safety, awards, tax or the law.
  • Edit before you post. AI writing is a first draft. Your voice is what makes customers come back.
  • Read the terms. Free plans have limits, and terms can change. Check the official pages from time to time.

FAQ

Are these AI tools really free forever? They each have a free option at the time of checking (October 2026), but companies change their plans. Check the official pages linked above before you rely on any tool, and expect limits on the free versions.

Which free AI tool is best for a café? For writing, any of ChatGPT, Gemini or Copilot will do the job. For visuals, Canva Free. And keep your Google Business Profile complete, because it's free and it helps customers find you.

Do I need to pay for AI to get good results? Not to start. Free plans are enough for most everyday café tasks like posts, descriptions, checklists and replies. Upgrade only if you keep hitting the limits on something you use every day.
